Last updated October 6, 2026. One Pickleball Hub Bacolod, Bacolod City.

The short version

  • We collect what we need to run check-in, the queue, bookings, and your account.
  • Your public display name (and photo, if you add one) appears on the live board and may be read aloud. Your email, phone, age, and gender are never shown publicly.
  • If the venue enables location checks, we use location to verify check-in and queue presence. Android checks only while the app is open; optional iPhone background checks use venue entry and exit events. We do not keep your coordinates or a location history.
  • We never sell your data. A few trusted services help us run the Hub.
  • You can see, correct, or delete your data. Delete your account any time at onepickleballhub.com/delete-account.

1.Who we are

One Pickleball Hub Bacolod ("the Hub", "we", "us") operates the pickleball venue in Atis, Bacolod City, together with its website, check-in kiosk, live court board, and mobile app. We are the personal information controller for the data described here and process it under the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules.

2.What we collect

Information you give us:

  • Account details: full name, public display name, email, mobile number, and password (stored only in scrambled, hashed form).
  • Player profile: skill level, DUPR rating, and, if you choose to add them, birthdate or age, gender, match preferences, and a profile photo.
  • Waiver acceptance, and for minors, the parent or guardian who registered them.

Information created when you play:

  • Check-in and check-out times, queue position, pauses, court assignments, challenges, and match results.
  • Bookings, purchases, rentals, and receipts from the front desk.
  • Notifications we send you, and whether you have read them.

Information from your device:

  • Location, when you allow it (see Location below).
  • A push notification token for your phone, so we can send you alerts.
  • Basic technical data such as browser type and request logs, used to keep the Services secure.

3.How we use it

  • To create your account, check you in, and run the open-play queue and court rotation.
  • To match you with players at a similar level or by the preferences you set.
  • To take and manage bookings, sales, and rentals.
  • To send you court calls, queue updates, booking reminders, and account emails such as password resets.
  • To keep the venue fair and safe, prevent misuse, and resolve disputes.
  • To meet legal, tax, and accounting obligations.

We process your data because it is needed to provide the Services you signed up for, because you consented (for example, to location or optional profile details), for our legitimate interest in running a fair and safe venue, or because the law requires it.

4.What other people can see

The live court board is shown on screens at the venue and on our website. It shows your public display name, your profile photo if you added one, and your queue and court status, and it may call your name out loud when your court is ready. Choose a display name you are comfortable sharing.

Your email, mobile number, password, birthdate, age, and gender are never shown on the board or to other players. Staff see them only when needed to run the venue.

5.Location

Location checks are used only when the venue enables its presence rule. The website or mobile app requests your location during self-service check-in or queue joining to verify that you are at the venue. While the mobile app is open and you are queued, it may check your location periodically to update your away status. The Android app does not request background location or check your location while it is closed.

On iPhone, if you separately allow background location, the app may register a small venue boundary while you are queued. Your phone then sends an arrival or departure event when you cross that boundary, even if the app is closed. This helps protect your queue place under the away rule. The app clears the boundary when it next learns you have left the queue. It does not continuously track your movements in the background.

We use a location reading only to decide whether you are inside the venue boundary; we do not save your coordinates or a location history. We keep an away-status timestamp while needed for the queue. Location is not used for advertising or analytics, and we do not sell it.

Location permission is optional. If you decline it, you can still use the app, show your QR code for staff check-in, and receive court and queue updates. On iPhone, background location is a separate optional permission; without it, venue presence checks work only while the app is open. You can change location permission in your phone settings. If the venue requires a location check, some self-service check-in or queue actions may need staff assistance.

6.Who we share it with

We do not sell your personal data. We share it only with service providers who help us run the Hub, under agreements that require them to protect it:

  • Cloud database, file storage, and hosting providers that store and serve the Services.
  • Google Firebase Cloud Messaging and Apple, to deliver push notifications to your phone.
  • Our email delivery provider, to send account and notification emails.
  • An automated text moderation service (DeepSeek), which receives only your proposed display name to check that it is appropriate.
  • A text-to-speech service (Microsoft), which receives the words the board reads aloud, such as display names and court numbers.

Some of these providers process data outside the Philippines. When they do, we take steps to make sure your data stays protected as required by the Data Privacy Act.

We may also disclose data when required by law, a court order, or to protect the safety of people at the venue.

7.Cookies

We use only the cookies needed to keep you signed in. Player sign-in lasts up to 30 days, and staff sign-in up to 12 hours. We do not use advertising or tracking cookies.

8.How long we keep it

We keep your account data while your account is active. Records of sales and payments are kept as long as tax and accounting laws require. When you delete your account, we remove or anonymize your personal data, except what we must keep by law or to resolve a dispute.

Match history that other players rely on may be kept with your name removed.

9.How we protect it

We protect your data with encrypted connections, hashed passwords, access limited to the staff who need it, and signed sign-in sessions. No system is perfectly secure. If a breach affects your data, we will notify you and the National Privacy Commission as the law requires.

10.Your rights

Under the Data Privacy Act you have the right to:

  • Be informed about how your data is processed.
  • Access your data and get a copy of it.
  • Correct data that is wrong or incomplete.
  • Object to processing, or withdraw consent you gave.
  • Have your data deleted or blocked.
  • Get your data in a format you can take elsewhere.
  • Be compensated for damages caused by unlawful processing.
  • File a complaint with the National Privacy Commission (privacy.gov.ph).

You can update most profile details yourself in the app or member portal, and delete your account at onepickleballhub.com/delete-account. For anything else, contact us below. We may ask you to confirm your identity first.

11.Children

Players under 18 must be registered by a parent or legal guardian, who consents to this policy on their behalf and can exercise the rights above for them.

12.Changes to this policy

We may update this policy. The date at the top shows the latest version. If a change is significant, we will tell you in the app or at the venue.
